Refund & Cancellation Policy

1. Overview
At SY Luxury Travel, we understand that plans can change. This policy outlines how cancellations, refunds, and booking modifications are handled for reservations made through our agency. By booking with us, you agree to the terms below.
2. Deposit & Payment Terms
- Deposit: A non-refundable deposit is required to confirm all bookings. The deposit amount is communicated at the time of reservation and varies by destination and package.
- Final Payment: The remaining balance is due according to the payment schedule specified in your booking confirmation. Failure to pay by the due date may result in cancellation without refund.
- Currency: All prices are quoted in USD unless otherwise stated. You are responsible for any currency conversion or foreign transaction fees charged by your bank.
3. Cancellation by You
- 60+ days before travel: Deposit is non-refundable. Any additional payments beyond the deposit may be refunded minus supplier cancellation fees and a 10% agency processing fee.
- 30–59 days before travel: 50% of the total booking value is forfeited. The remaining 50% may be refunded minus supplier fees.
- 15–29 days before travel: 75% of the total booking value is forfeited. A 25% refund may be issued at our discretion, subject to supplier policies.
- 0–14 days before travel: The booking is non-refundable. No refunds will be issued.
All cancellations must be submitted in writing via email to hello@syluxurytravel.com. The date of receipt determines the applicable cancellation terms.
4. Supplier & Third-Party Policies
SY Luxury Travel acts as an agent for airlines, hotels, resorts, transfer companies, and excursion operators. Each supplier maintains its own cancellation and refund policy, which may be stricter than ours. In such cases, the supplier's policy takes precedence, and any non-recoverable costs will be deducted from your refund.
We strongly recommend reviewing supplier-specific terms, which we provide with your booking confirmation.
5. Modifications & Changes
- Date changes: Subject to availability and supplier fees. A $150 per-person change fee applies, plus any fare differences or supplier penalties.
- Destination changes: Treated as a cancellation and new booking. Standard cancellation terms apply to the original reservation.
- Traveler name changes: Most suppliers do not permit name changes on airline tickets. Hotel and activity name changes are subject to supplier approval and fees.
- Downgrades: Reducing the level of service (e.g., room category, number of experiences) does not guarantee a partial refund. Supplier policies apply.
6. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of booking. Insurance may cover cancellation due to illness, family emergencies, job loss, or other unforeseen events that fall outside our standard refund policy. SY Luxury Travel is not responsible for losses that could have been covered by travel insurance.
7. Cancellation by SY Luxury Travel
In rare circumstances, we may need to cancel or modify a booking due to supplier failure, safety concerns, force majeure, or other events beyond our control. If this occurs, we will offer one of the following:
- A full refund of all monies paid to SY Luxury Travel.
- A comparable alternative itinerary of equal or greater value.
- A travel credit valid for 24 months from the original travel date.
SY Luxury Travel is not liable for incidental or consequential damages arising from cancellations due to force majeure events, including but not limited to natural disasters, pandemics, war, terrorism, or government travel restrictions.
8. No-Shows & Unused Services
Failure to arrive at a hotel, airport, or activity without prior notice is considered a no-show. No refunds will be issued for no-shows or for any portion of the itinerary that you choose not to use.
9. Refund Processing
Approved refunds are processed within 14–21 business days of written cancellation confirmation. The refund will be issued to the original payment method. Depending on your bank or card issuer, it may take an additional 5–10 business days for the funds to appear in your account.
10. Disputes
If you believe your refund has been calculated incorrectly, please contact us within 30 days of cancellation at hello@syluxurytravel.com. We will review your case and respond within 10 business days.
